Manage owner and staff accounts for your wholesale portal

What this page does

The Users page lets your team create, edit, enable or disable login accounts for your portal. Use it to invite new staff or co-owners, update names and emails, reset passwords, and keep access current. Buyer accounts are managed elsewhere; this screen is focused on owner and staff roles.

Quick start

  1. Open the Users page from your left navigation.
  2. Click Invite User to add a teammate.
  3. Enter Email, First Name, Last Name, and choose a Role.
  4. Submit to send an email invitation with a temporary password.
Tip: After saving, you will see a confirmation message that the invitation was sent.

Searching, sorting, and page size

  • Search: Use the search box to find users by name or email, then click Search.
  • Sort: Click any column header (Email, Name, Role, Active, Last Login, Created) to sort. Click again to toggle direction.
  • Page size: Choose how many rows to show per page. Use First, Prev, Next, Last to move through pages.

Invite a new user

  1. Click Invite User.
  2. Fill in email, first_name, last_name.
  3. Select a Role:
    • Owner/Admin - full access, including billing and tenant settings.
    • Staff - day to day operations without owner-only powers.
  4. Submit. The system generates a temporary password and emails the user. The password is never shown on screen.
Note: Buyer role is not offered here. This screen is for your internal team.

Edit an existing user

  1. From the Users list, click Edit on the row you want.
  2. Update the basic fields as needed, then Save Changes.

Actions on the edit page

  • Reset Password: Sends a new temporary password to the user by email.
  • Toggle Active: Enables or disables the account. Disabled users cannot sign in.

Security: Temporary passwords are sent via email and must be changed by the user after signing in.

Enable or disable a user

  • From the list, use the Enable or Disable button on each row.
  • You cannot disable your own account from this screen.
  • At least one active Owner must remain at all times. The system will block actions that would leave zero active Owners.

Password resets

  • Open a user, click Reset Password.
  • The user receives an email with a temporary password and a sign-in link.
  • For safety, the temporary password is not displayed in the browser.

Understanding roles

  • Owner/Admin: Full control including user management, billing, and all data areas.
  • Staff: Operational access such as catalogs, orders, inventory, invoices, and customers. Cannot remove the last active Owner.

Status and timestamps

  • Active: Yes or No shows if the user can sign in.
  • Last Login: Date and time of the most recent login.
  • Created: When the account was added.

Common messages you might see

  • Invitation sent to ... - A new account was created and the welcome email was sent.
  • Saved. - Changes to a user record were saved.
  • Password reset email sent. - A reset was issued to the user.
  • Owner access required. - Your account is not allowed to perform this action.
  • You cannot deactivate your own account. - Self-protection guardrail.
  • You cannot deactivate the last active owner. - At least one Owner must remain active.
  • You cannot change your own role from owner. - Prevents self-demotion that could lock out administration.
  • Email, First and Last name are required. - One or more required fields are blank.

Best practices

  • Keep your Owner/Admin list short. Assign Staff for daily operations.
  • Disable access for users who leave your company instead of deleting them, so history is preserved.
  • Use clear first and last names to avoid confusion in audit logs.
  • Prompt new users to change the temporary password after their first sign in.

Troubleshooting

  • User did not receive an invite: Confirm the email spelling, ask the user to check spam, then use Reset Password to resend fresh credentials.
  • Cannot disable a user: You might be trying to disable yourself or the last active Owner. Add another Owner or switch assignments first.
  • Search shows no results: Clear the search box and click Reset to show all users.

  • Active: A user who can sign in.
  • Owner/Admin: Highest permission level with full control.
