Ship Order - User Guide

This page lets you create a shipment for a specific order. You can ship the whole order or just part of it. When you submit the form, the system creates a shipment record, deducts inventory from the selected warehouse, updates the order status, and (when the buyer has opted in) sends a shipment email with tracking details.
Who can use this page
- Owner or Staff users on your wholesale account.
Before you begin
- Have an order selected. The page always corresponds to one order.
- Make sure at least one warehouse is active so you can choose where items ship from.
- Know your carrier, service level, and tracking number. Tracking is required.
Step by step: create a shipment
- Choose Ship from warehouse. This is required and determines where inventory will be deducted.
- Enter Carrier (for example, UPS, FedEx, USPS).
- (Optional) Enter Service (for example, Ground, 2-Day, Express).
- Enter the Tracking number. This is required. If you also have a tracking URL, add it in the optional field.
- Set Package count if there is more than one package.
- (Optional) Add Notes for the buyer, such as delivery instructions.
- In Items to Ship, review each line. The table shows Ordered, Shipped, and Remaining. Type how many units to ship now for each line.
- Click Create Shipment. If you change your mind, click Cancel to return to the order.
Field reference
Ship from warehouse
Required. Sets the warehouse for this shipment. Inventory deductions and the shipment record will use this location.
Carrier
Required. The shipping carrier name.
Service
Optional. The carrier service level (for example, Ground or 2-Day).
Tracking number
Required. The package tracking number. If you also provide a tracking URL, buyers will see a clickable tracking link in email.
Tracking URL
Optional. Paste the full tracking URL if available.
Package count
Defaults to 1. Increase if the shipment includes multiple packages.
Notes
Optional. A short message to the buyer about this shipment.
Items to Ship table
- SKU and Name: The item you are shipping.
- Ordered: Total units on the order line.
- Shipped: Units already shipped in earlier shipments.
- Remaining: What is left to ship. You cannot ship above this number.
- Ship Now: Enter how many units to ship in this shipment. Leave 0 to skip the line.
Partial vs. full shipments
- You can ship some lines now and others later.
- If you ship all remaining quantities, the order status becomes Shipped.
- If you ship only part of the order, the status becomes Partially Shipped.
What happens after you click Create Shipment
- A shipment record is created with a unique shipment number.
- Inventory is deducted from the selected warehouse, and any reserved quantity is reduced for the shipped items.
- The order status is updated to Shipped or Partially Shipped based on what you sent.
- The buyer who placed the order may receive a shipment email with tracking details if their account is set to receive them.
- You will see a success message on this page confirming the shipment was created.
Common messages and how to fix
- Please select a "Ship from warehouse". Choose a warehouse from the dropdown.
- Carrier is required. Enter a carrier name.
- Tracking number is required. Enter the tracking number.
- Cannot ship more than remaining for this SKU. Lower the Ship Now quantity to the Remaining value or less.
- Enter at least one quantity to ship. Set Ship Now to a number above 0 for at least one line.
- Error creating shipment. Retry. If the issue continues, verify the fields and try again.
Tips
- If all order lines already reference the same warehouse, that warehouse will be preselected. If your account has exactly one active warehouse, it will also be preselected.
- You can include a tracking URL or just the tracking number. The email will prefer the URL if present.
- Use Package count to reflect multi-box shipments. This is helpful for buyers and for your records.
- Notes are a simple way to add delivery instructions or a short message.
FAQ
Can I create multiple shipments for one order?
Yes. Use this page again to create a new shipment for the remaining items.
Will inventory adjust automatically?
Yes. The system deducts shipped quantities from the selected warehouse and lowers any reserved quantities for those items.
Who receives the shipment email?
The buyer user who placed the order, as long as their account is active and set to receive emails. If the buyer is not set to receive emails, the shipment will still be created without sending an email.
