Restocks Guide

This guide explains how to manage expected inbound stock in the Restocks area. It covers adding, editing, deleting, and searching restocks, along with what each field means.

Audience: wholesale admins and staff with access to manage inventory.

Quick overview

  • List shows all upcoming restocks with ETA, SKU, product, warehouse, quantity, supplier, and PO number.
  • Add Restock opens a form to create a new inbound record.
  • Edit lets you update any field on an existing restock.
  • Delete removes a restock after a confirmation step.
  • Import CSV lets you bulk add restocks from a spreadsheet.

Fields you will use

  • Product required. Pick from your active products list.
  • Warehouse optional. Choose a location if the inbound is tied to one site.
  • Expected Date required. Format YYYY-MM-DD. Example 2025-10-15.
  • Expected Quantity required. Whole number only. Example 500.
  • Supplier Name optional. Helps search and reporting.
  • PO Number optional. Use your purchase order reference.
  • Notes optional. Any short internal note, such as partial shipment info.
Tip: use a separate restock row for each distinct ETA or warehouse if the inbound is split.

Add a restock

  1. Select Add Restock.
  2. Fill in Product, Expected Date, and Expected Quantity. Add optional fields as needed.
  3. Choose Create Restock to save.

After saving, you will see a Saved message on the edit screen.

If a required field is missing or invalid, an error message will appear at the top. Fix the field and submit again.

Edit or delete a restock

  • Select Edit on the row you want to change. Update fields, then choose Save Changes.
  • Select Delete to remove a row. You will be asked to confirm before it is deleted.

Search, filter, sort

  • Search by SKU or Product name. Use partial text to match more results.
  • Warehouse filter narrows the list to a single location or shows all.
  • ETA From / To filters by date range.
  • Sort by any column header such as ETA, SKU, Product, Warehouse, Qty, Supplier, or PO.
  • Page size lets you view 10, 25, 50, 100, or 200 rows per page.

CSV import

Use the CSV import when you have many restocks to add at once. Prepare a file with your inbound rows and upload it from the import screen. After processing, review any row-level errors and re-upload corrections if needed.

Tip: keep product IDs and dates clean. Dates should be YYYY-MM-DD. Quantities should be whole numbers.

Validation messages

Message How to fix
Product is required. Select a product from the list.
Expected Date is required (YYYY-MM-DD). Enter a date like 2025-10-15 using four-digit year, two-digit month and day.
Expected Qty must be a number. Use an integer like 500. Do not enter text or decimals.

Tips

  • Use clear PO numbers and supplier names so you can search for them later.
  • When an ETA changes, edit the existing row instead of creating a duplicate.
  • If an inbound is split across multiple dates, create one row per date.
  • Use the page size control to switch between quick scans and detailed reviews.

FAQ

Q: Do I have to specify a warehouse?
A: No. If you leave it blank, the restock is tracked without a specific location.

Q: Can I use decimals in quantity?
A: No. Quantities are whole numbers.

Q: What happens after I save?
A: You will see a Saved notice and remain on the edit screen for quick changes.
